1. What we mean by the words we use

In our Privacy Policy, when we refer to “Users”, this is referring to the customers of our website which includes visitors to our sites not just those who buy. “Cookies” is used as a technical terms referred to when we want improve our users experience rather than the biscuit we all know and love [sadly!].

2. Why we have a privacy policy

We have this privacy policy to ensure that we are being as open as we can with out customers in relation to the information we hold about you, how we collect it and the way we use it. This Privacy Policy describes what we do with personal information for our own purposes (i.e., where we are a controller), such as your account information and information about how you use and interact with our website for example, information you submit through ‘contact us’.

We collect various personal information regarding you as a user and the device you are using [mobile phone, tablet or laptop]. This includes the following:

  • Where you sign up for payment services, we can see some but not all of your payment information from our payment processor (for example the last four digits of your card details, the country of issue and the expiration date of the payment card).

  • Your marketing preferences - set but you the user that can be changed at any time.

  • Your communication preferences [email address, telephone number, postal address] that you send us or otherwise contribute, such as customer inquiries or postage details etc.

  • Information you share with us in connection with surveys, contests or promotions.

  • Information from your use of the website This includes: IP addresses, preferences, web pages you visited prior to coming to our or our Users’ sites, information about your browser, network or device (such as browser type and version, operating system, internet service provider, preference settings, unique device IDs and language and other regional settings), information about how you interact with the website (such as timestamps, clicks, scrolling, browsing times, searches, transactions, referral pages, load times, and problems you may encounter, such as loading errors).

  • Information we get from our partners to support our marketing initiatives, improve our Services and better monitor, manage and measure our ad campaigns, such as details about when our partner shows you one of our ads on or via its advertising platform.

We obtain personal information from various sources and this is mainly done in 3 ways:

  • You provide some of it directly (such as by registering for an Account).

  • We record some of it automatically when you use our website (including with technologies like cookies).

  • We receive some of it from third parties (like when you make payments to us using our payment processor Stripe - this is done in accordance with Stripe’s privacy policy.).

6. How we use your personal information

We use the personal information you give us to:

  • Create and manage your Account, this is so that we can provide you with the best experience, process payments and respond to any of your inquiries with us.

  • To contact you, including sending you emails about your transactions, any service or product related announcements, surveys or competitions.

  • Promotions, To make you aware of any promotions that we have running at the time and to send you tailored marketing communications. We make sure that we measure the success of those campaigns for example, we may send different marketing communications to you based how well received the promotion was or what we think may interest you based on other information we hold about you.

  • Advertising, We will look at your interactions with us as an online services so we can tailor our advertising to what we think will interest you. For example, we may decide not to advertise our products to you on a social media site if you already bought certain items though we may choose to promote other information we hold about you.

  • Personalised Services, We want to provide you with a personalised service. For example to display accurate date and time information that could affect posting or delivery times. As we mentioned previously we also use cookies in this way to see what areas of the website you use most often and which items you are most likely to buy.

  • Security, Ensure the security and integrity of our website.

  • Third party relationships, Manage our vendor and partner relationships.

  • Enforcement. Enforce our Terms of Service and other legal terms and policies.

  • Legitimate interests. We have a legitimate interest in using your personal information. In particular, we have a legitimate interest in the following cases:

    • To operate Pip and Pop ltd and provide you with tailored advertising and communications to help us build a better relationship with you as a customer.

    • To analyse and improve the safety and security of website - we do this by implementing and enhancing security measures and protections and protecting against fraud.

    • To provide and improve the Services, including any personalised services - we do this as it is necessary to pursue our legitimate interests of providing an innovative and tailored offering to our customers on a sustained basis.

    • To anonymise and subsequently use anonymised information.

  • Protecting you and others. To protect your vital interests, or those of others. 

We share personal information in the following ways:

  • Process payments, when paying for items your personal information is shared via an encrypted connection to our payment processor.

  • Business partners, We may share personal information with business partners. For example, we may share your personal information to the royal mail about where you live in order to post your items to you.

7. Your rights and choices

As a valued customers you have right to change to access, change and edit your communication and marketing preferences. This can be done within your account with us or by messaging us through the ‘contact us’ button on the homepage.

Similarly with the cookies that we use, if you are not happy for us to work in this way then please do go into your web browser [google / safari] and manage these in a way that you are comfortable.

8. How we protect your personal information

Our website has security measures in place such as using firewalls to protect against intruders, multiple servers throughout our network (so that if one server goes down, another can cover for it) and testing for and protecting against network vulnerabilities.

9. How we retain your personal information

We retain personal information regarding you as a customer for as long as your Account is active. We also retain personal information for as long as necessary to for example 14 day period in which to fully refund you if a product was to be faulty or damaged. This ensure that we are able to comply with our legal obligations, to protect you and ourselves in the event of disputes and to enforce our agreements when required.

The precise periods for which we keep your personal information vary depending on the nature of the information and why we need it. Factors we consider in determining these periods include the minimum required retention period prescribed by law or recommended as best practice, the period during which a claim can be made with respect to an agreement or other matter, whether the personal information has been aggregated or pseudonymised.

Please note that we collect and maintain aggregated, anonymised or de-personalised information which we may retain indefinitely in order for us to improve our business and online experience for our users.

10. Updates to this Privacy Policy

We will update this Privacy Policy from time to time but make sure it is kept up to date and in compliance with any new laws / regulations. When this happens will display a little pop up message on our homepage and maybe even add a web banner so try and look out for these.

We do encourage our customers to check this Privacy Policy from time to time for any changes that maybe in place since you last read it.  This will help ensure you better understand your relationship with us, including the ways we process your personal information.
